Administrators managing user groups.
Administrator access is required.
The system gives you powerful control over what users can see and do within the system through its flexible Groups and Permissions framework. This feature allows administrators to show or hide nearly any element—such as dashboards, reports, forms, or modules—based on the specific needs of different users.
The table below outlines the group types available:

| App access | Allows members of the group to access the app. e.g. APP Access - Mortality. |
| Permissions | Provides specific access within an app. e.g. Permissions Mortality - Edit all. |
| Question admin |
Grants the user access to the question manager area of administration. e.g. Question admin - Audits. Note: The user must also have a model admin license assigned. |
What can you do with groups?
Groups can be applied throughout the Ideagen Healthcare Guardian system to streamline access, automate actions, and personalise user experiences. Once created, groups can be used in a variety of ways, including:
- Assigning editing rights in triggers: You can configure triggers to automatically grant members of a specific group permission to edit records when certain conditions are met. This ensures that the right people are empowered to take action at the right time—without manual intervention.
- Issuing targeted notifications: Triggers can also be set to send alerts or updates to specific groups. This allows for precise, role-based communication—ensuring that only relevant users are notified, reducing noise and improving responsiveness.
By leveraging groups in these ways, administrators can automate workflows, enhance security, and deliver a more tailored and efficient experience across the platform.
