Understanding Task Permissions
Who is this article for?
All Users needing to understand task permissions
Overview - View Only
By default, all users should be able to see / view only all tasks created within your Healthcare Guardian application; unless these have been changed on a task-by task basis. Task Permissions are not inherently applied based on the permissions of the associated object (i.e. just because users can edit the risk the task is associated to, doesn't mean they can edit the task as well). Task view permissions would have to be applied on a task-by-task basis; which would ultimately bring an ongoing management and maintenance exercise for Model Administrator standard role (licence) holders, in the monitoring task permissions and therefore is not recommended.
Overview - Value Entry and View Only
By default, only the owner and users with a Model Administrator standard role (licence) can add performance assessments (values) to all tasks created within your Healthcare Guardian application; unless these have been changed on a task-by task basis.
Please be aware that users with these permissions will be able to view the task(s).
Overview - Edit, Value Entry and View Only
In respect of edit rights [of a task] (rather the viewing), the default setting is that users can only perform this on tasks they are the owner of, unless they are a Model Administrator standard role (licence) holder. However, there are options to change the default settings: IHG Administrator > Add Ins > Task Permissions for all tasks to one of the following if this is what you need. Please be advised this would apply system-wide, not per Healthcare Guardian app/module.
Only Owner or Model Administrator can edit task (default)
- Allow anyone to edit any task
- Allow users that belong to same department (as defined by the organigram) to edit others' tasks
Please be aware that task permissions control the entering / amending of task property data only (e.g. owner, description, title, dates etc.) but not updating task commentary. This is a different setting which is enabled [system-wide] via the server configuration and is controlled by standard role type. Please contact a Healthcare Guardian Support Agent if this is something you wish to amend.
Please be aware that users with these permissions will be able to add performance assessments (values) and view the task(s).
Overview - Authoring, Edit, Value Entry and View Only
The main advantage an task author has over a task editor, is the ability to delete the task.
By default, only the owner and users with a Model Administrator standard role (licence) can author all tasks created within your Healthcare Guardian application; unless these have been changed on a task-by task basis. Task Permissions are not inherently applied based on the permissions of the associated object (i.e. just because users can own the risk the task is associated to, doesn't necessarily mean they can author the task as well). Task authoring permissions would have to be applied on a task-by-task basis; which would ultimately bring an ongoing management and maintenance exercise for Model Administrator standard role (licence) holders, in the monitoring task permissions and therefore is not recommended.
Please be aware that users with these permissions will be able to add edit, performance assessments (values) and view the task(s
1. Author, Edit, Value Entry & View Only
Any user (or groups of users) in the Author, Edit, Value Entry & View Only have full authoring permissions on the task / action. This includes being able to delete the task.
2. Edit, Value Entry & View Only
Any user (or groups of users) in the Edit, Value Entry & View Only have full editing permissions on the task / action. This does not include being able to delete the task.
However, if users are able to edit the task, they are able to:
- Update / amend the task name
- Set the priority and stage

- Update / amend the start date, completed (or completion (est)) and due dates
- Update / amend task owner
- Update / amend the task description
- Update / amend the org unit, planning pattern and performance scheme
- Update / amend the weighting, tracking and type
... and any task custom fields
Users that can edit tasks / actions also inherently are able to update the performance of task
