Setting permissions based on answer rules
Who is this article for?Users responsible for managing Questionnaire template pages.
Performance Modeller or Model Administrator permissions and Ideagen Healthcare Guardian v24+ access are required.
Performance Modellers and Model Administrators can edit questionnaire templates if they belong to the Question Type permission group.
This article explains how to set permissions based on questionnaire answer rules.
1. Identifying the questionnaire type
To identify a questionnaire type:
- Access Question Manager.
- Select the Audit questionnaire type.
- Select the name of the name of the questionnaire.
- Select Triggers.
2. Defining the answer rules
Select which workflow stage(s) the answer type should be set
- Choose Run in a specific workflow stage(s) or all stages.
- Choose And match on Any rules or All of the following rules.
- Choose a question from The answer to dropdown box.
- To add an additional question, click + Answer rule.

- is not blank
- equals
- is not equal to
- is any of
- is none of
2. Defining the permissions
Define the permissions for the record/instance when the answer rule(s) are true, as it moves to the next workflow stage (assuming the trigger activates in the current stage).
2.1. Who can view
This indicates who can access the record/instance.
Click + Who can view to select employees allowed to view the record/instance when the answer rule is true.
You can limit access to editors or above by checking the box.
2.2. Who can enter values
This means, who can enter measure measures values - e.g. in a risk instance, this might be RM01 (Risk Consequence), and/or RM02 (Risk Likelihood)
Who can enter values Click the + Who can enter values to select the employee or employees that should be able to enter values into the record / instance when the answer rule is true
2.3. Who can edit
This means, who can edit / update the record or instance
Who can edit the record Click the + Who can edit to select the employee or employees that should be able to view the record when the answer rule is true
2.4. Who can author
This means, who can edit / update (incl. delete) the record or instance
Who can author the record Click the + Who can author to select the employee or employees that should be able to view the record when the answer rule is true
3. Save the trigger
- Each time to trigger is fired, you may also choose to for Ideagen Healthcare Guardian to clear all existing custom permissions and reset the permissions accordingly. This is particularly useful if permissions should change between workflow stages.
- Click Save & Overwrite.
