[Video] Board Assurance Framework for Power Users
The Top-Level Plan
- Log into Ideagen Healthcare Guardian and navigate to the Portals tab on the top menu
- Click on the Board Assurance Framework portal to open it
- You will be brought to a page with a diagrammatic overview of the Board Assurance Framework
- The scorecards across the top of the diagram show strategic outcomes
- In the bottom left-hand corner of the scorecards, there is a performance thermometer that represents how well you are performing against these outcomes
- You can click on the arrows at the top or bottom of each scorecard to expand the data for as comprehensive a view as you wish to understand what sub-objectives are driving the main objectives
- Further down the page underneath this map, there is a table displaying the strategic risks in a Kanban style
- Underneath this, there is a Strategic Risks Outside of Target table, denoting the risks that are falling below what’s acceptable
- Here, you can see the details of the risk, the discrepancies, who is accountable for it, the target, if the risk has become more severe or stayed the same over a specific time period and the latest update on that
- By clicking on the ‘Performance Analysis’ icon within the table, you can open up the details of the risk in a pop-up window
- Along the right-hand side of this pop-up window, there is a section for a discussion around this risk for more understanding
- You can also see how the risk has changed over time.
- Close the pop-up to return to the dashboard
- Below the Strategic Risks table, there is a section for Strategic Risk Controls
- To the left, there is a sunburst diagram of the risks and their controls
- This allows you to see a RAG rating on your risk-related controls
- The table on the right shows the Red Rated controls
- You can click on the Analysis icon for a pop-up window with more details
- Underneath this section, there are the Assurance Actions that are related to these controls displayed in a Kanban-style table
- You can see the actions in progress, the completed actions blocked actions and unstarted actions.
- When actions are first created, they will appear in the column on the left-most side, under the ‘Not Started’ title
- You can drag and drop the actions into the appropriate column as the progress on their moves on
- Anything that is updated on this page will filter down to all stages
Assurance By Outcome
- Navigate to the Assurance by Outcome page by clicking the menu option
- The titles of each of your outcomes are listed at the top of this page
- You can look at each outcome in more detail by clicking on it
- The outcome is broken down in a sunburst diagram to the left, with the outcome in the middle and its supporting objectives as the outer layers
- You can see a RAG rating overview of performance within this sunburst
- To the right of the sunburst is a table displaying areas of concern
- This table brings together any area of concern in the Ideagen Healthcare Guardian system that relates to the strategic outcome
- These scorecards are also RAG rated to denote performance against the domains
- In the top-right corner of these scorecards, you will be able to see a performance tracker, illustrating the performance of the objective over time
Strategic Risks
- Further down the page, you will see Strategic Risks that relate to this outcome displayed in a Sunburst diagram
- They are RAG rated with further details displayed in the table to the right
Control Effectiveness
- Attached to each of those risks, the Control Effectiveness that affects each of them is displayed below
- In the table to the right, the details of underperforming controls are displayed
- You can see who is responsible for it, and the level of assurance and can add improvement actions from here by clicking on the ‘Add Action’ icon and filling in the details of the action
- This will add the action to the Control and into the Ideagen Healthcare Guardian system
- For more details about a Control, click on it to open the pop-up window
- This will bring up a performance tracker as well as the commentary on the right-hand side
- This comment section also allows for the recording of Teams meetings to be attached for deeper discussion and evidence of progress
Lines of Assurance
- Underneath this, there are tables for the First, Second and Third lines of assurance
- There are also spaces for what assurance is provided and the source of that assurance
- As well as this, you can see the latest updates and commentary around it
- You can also see the gaps in assurance and what is being done to close that gap
Measures
- Further down the page, there are scorecards representing the Measures for the Controls
- You will be able to see how you’re performing within these measures
- Again, you can double-click to open the measure details in a pop-up window
- In this section, you will be able to see the details of the measure and how it’s affected by anything across the organisation
- There is a performance tracker within this pop-up to display to denote the performance within this measure over time
- You can look at various things on this performance chart, including the statistical forecast, the previous year’s performance, target and actual to get a clear picture of what’s going on
- You can also see the key drivers, which are the areas of the organisation affecting this measure’s performance the most
- You can keep drilling down into the data by clicking on a scorecard to bring up the performance pop-up
- You are also able to see what actions have been put in place to reduce the impacts and improve performance
Assurance Actions
- Under this, you will find the assurance actions
- It doesn’t matter where in the system these actions were created, if they relate to these controls, they will appear in this table
- The actions will also appear in the ‘My Ideagen Healthcare Guardian’ section of the user they were assigned to
Risk and Controls Register
- This page is a more traditional table layout more suitable for a print-to-PDF action
- To print to PDF, navigate to this page at the menu bar
- In the top right-hand corner, there is an icon to the right of the Person
- Click this icon
- This will bring up a Print-to-PDF option
