[Video] Ideagen Healthcare Guardian Question Manager for Power Users
Introduction to Question Manager
- To open Question Manager, click on the ‘Send To’ icon in the top right-hand corner of the menu and select ‘Open Admin’
- Once Administrator is open, select Question Manager from the left-hand floating menu
- There are a number of kinds of preset types, including surveys, events, LFPSE Incident form and audits. They largely revolve around regular data capture and or one off kind of data capture.
- You can set these forms and preset types to occur at any frequency you wish, such as weekly, monthly, quarterly and yearly
The Different Sections
- The ‘Event’ section is for one-off things like incidents, can claims complaints, the things that are happening, you create it and there you have that management process of that event.
- LFPSE incident forms are separated out to that to drive EPI and automatic reporting.
- Audits are the day-to-day ground-level data collection audit. So things like hand hygiene, environmental audits, anything that you do regularly.
- The difference between the survey and the audit is the audits have a compliance element to them. So you can generate a compliance score and then calculate how compliant you are paralleled over a period of time.
- Selecting ‘Events’ as an example, we’re going to add an audit. In the top right-hand corner, there is a blue plus button. Click and it'll let you enter the name of your audit.
- Hit Create and the system will go off and build the bones of your report.
- And what you get is a form ready for you to build on top. Everything is editable on the screen that you see.
- Forms are structured in a section and a question concept. So the bottom left-hand corner here, there is another big blue button which will allow me to add a section to the form.
- It will pop up and you can simply click in and start typing.
- Here, you can add a section name. Then you’ve got the ability to add questions underneath. In our example, we’re going to just set in a question. ‘Who are you’, for example, click off and you can see it set the question in it really is that straightforward of Section question.
Question Types and Options
- Each question has a little cog on the right-hand side is the question that allows you then to see a couple of sections that are specific to the question I'm looking at
- So here, there is a type option. And what you have is this drop-down list of all the different answer types.
- You’ve got the options of yes or no answers from lists, integers, date pickers, free text and more.
- In the video example, we can see clearly the different answer types displayed on this form. All of these question types will look as they appear and are broken down the question types into different types. So you can see exactly the different sorts of elements that we have.
- In the first section, there are buttons and lists. They are simple yes or no options.
- You can then see you've got options for lists or a single answer from a list. You can select one, or more than one item from the list so you can go through and just select as needed all the items really easily.
- Another question type is free text boxes. So, you can have simple lines or you can have more than one line. As you type, these boxes will expand.
- All these are question types within the actual builder yourself.
- You can see the Date and Time selectors.
- You can also add a Risk Rating, demographic types, Date of Birth, emails, phone numbers, numeric IDs, and employee lists, so you can connect your forms to the invader employee list.
- Any data within Ideagen Healthcare Guardian that you wish to connect to your forms in Question Manager, you can do.
Repeating Sections and Questions
- You can also repeat questions or sections within the form.
- A repeating question is something that you may want to be able to add or you may want people that need to answer more than once, but you don't know how many times.
- To repeat a question or a section, there is a blue plus button underneath the required section.
- Click on that to repeat the question or section within the form.
Object Specific Questions
- Here, you can attach questions to whatever object they might link to. Whenever the Questionnaire is saved, the object will update with the details in the form.
- This is useful when changes to a certain question prompt an update in the associated object, regardless of the ‘stage’ in which the Questionnaire is
Conditional Questions
- This is the ability to have an entire section or a question appear based on another answer, making sure that your end users only see the questions that they specifically need to see.
- To do this, simply add the questions you want answered, including all required and conditional questions
- Then, open the settings
- From here, you can add a rule to dictate what answers are required in previous questions for future questions to appear
Anonymous Access
- Sometimes, someone who doesn’t have an Ideagen Healthcare Guardian login will need access to a questionnaire
- This is for things like feedback and complaints
- To allow anonymous access, click ‘Allow Anonymous Access’ at the top of the form’s editor
To Generate a QR Code
- Open up the form you wish to create a QR code for
- At the top right-hand corner, there is an ellipses button
- Click on this to bring up a drop-down menu
- Here, you will be able to create a QR code for this questionnaire
The Workflow of the Questionnaire
- Click on the Workflow tab in the menu within Question Manager
- Select the type of questionnaire you’re building a workflow for at the left-hand menu. It can be an audit, event, survey, LFPSE incident and so on.
- On this page, you are able to build a workflow for this questionnaire.
- The builder allows you to add and delete stages as well as rearrange the order
- Click save to create the workflow
- You can create a workflow as simple or as detailed as you need
Create an Email Notification
- You can set up email notifications that are sent automatically that are triggered by a form entering a specific workflow stage
- The user can put together the basis of an email to be auto-populated with details from the questions
Ideagen Healthcare Guardian Reporting Capability
- The final thing is the reporting capability. We’ve built in automatic connections to your live data that's captured on your forms.
- In the floating menu on the left-hand side, there is an option to select Data Sources. Under this, you will see Live Connect.
- Select Live Connect on the page and you will see on the right-hand side there is a questionnaire and combined questionnaires.
- You can select questionnaires and there is a list of all the questionnaires that you’ve built.
- If you preview this, you will be able to see all the data that has been collected in the system in response to these questions
- So you can see question IDs, the questions, and the answers that are required. You will notice all of it directly connected so that you can then use it anywhere within Ideagen Healthcare Guardian.
- So if you're building out Ideagen Healthcare Guardian pages and Ideagen Healthcare Guardian reports, if you're using our apps that already connect all these elements, accessing that data is easy.
- So within the exports area, you can see we've actually got an export questionnaire data rebuilt.
- Select the actual form that you're interested in, add it to the export, and simply just click Export and it will take out all the information that is available within that set of data.
