How to Connect to an Excel Document
Enterprise Users will be able to view and interact with pages. Performance Managers/Modellers can edit pages and objects, and Model Administrators have full permissions.
You will still need to check your personal permissions to access this area with your site Administrator.
Ideagen Healthcare Guardian can connect to a whole host of data types. One of the most common is an Excel “.xls” file type.
These are usually exported out of other systems or collected manually by staff. Still, they can be added into the Ideagen Healthcare Guardian system to help create reports and used to make business decisions alongside all the other data in the system.
Considerations before you connect to an external Excel or CSV file
As the data is not prepared by Ideagen Healthcare Guardian you must ensure the data is clean and well laid out before importing.
Before you upload data to connect, please ensure:
- You have one sheet in the Excel document.
- You are using a flat table.
- You have no space to the left of the data set.
- You have no space above the headers of the data set.
- There are no hidden columns.
- There are no merged columns.
- All columns have headers.
Ensure your data set is exactly how you want it, and the format won’t change in the future. Once a data source is connected, the system will need to use it in the same format. If you upload the same data source but laid out differently you will need to rebuild the connection configuration.
Uploading your Excel Spreadsheet
To access the data sources page, you will need to have administrator access.
If you click on the Data sources sidebar menu item, then click on either Live Connect.
Click on browse to open the Ideagen Healthcare Guardian file explorer.
Find the most sensible folder area where you’d like to save your document. (Ensure it is easy to remember and doesn’t affect other user’s data.)
Click on the “+” sign to choose the file from your computer.
Then click on “Preview & Configure” to see an example of your data has been accepted by the system.
It is important to always do this to ensure the data is displaying correctly and you can use this in reports within the system.
Formatting the date column
Most datasets include a date column. This is one of the most important columns and we need to tell Ideagen Healthcare Guardian which column it should use as its default data column.
First, you need to ensure the date column is formatted as a date column so the system can identify it.
Click on the small black dropdown arrow on your preferred date column.
Hover over the Column data type and select Short Date.

From the sidebar on the right side of the screen open the “Date Range” section and click on the “In source column.
Click on the “Date Column” dropdown and select your preferred “Date Column”.

By default, all columns should be selected, but click on the header that says “Row” in the top right of the table to toggle the select all and de-select all.
You will know all columns are selected if they have orange borders.
Saving your connection
Click on the save link button and give your connection a sensible and memorable name.
